Abstract Submission Guidelines


Detailed Submission Requirements

All abstracts must be submitted through the HTAi online abstract portal. Below are the format, structure, and word limits for each presentation type.

Panels & Workshops

Word Limit: 230 words (not including title, moderators/presenters, or affiliations)

Required Structure:

  • Introduction (max 70 words): Background and purpose of the session
  • Structure (max 80 words): Format, timing, speakers, and interactivity plan
  • Objectives & Outcomes (max 80 words): What participants will gain

Additional Notes:

  • Maximum of 4 presenters for Panels (including the moderator)
  • Interactive elements are strongly encouraged
  • Workshop proposals must specify target audience and learning outcomes

Oral Presentations

Word Limit: 320 words (not including title, authors, or affiliations)

Required Structure:

  • Introduction (60 words): Problem or research question
  • Methods (100 words): Study design, data, analysis
  • Results (100 words): Main findings
  • Conclusions (60 words): Implications, next steps

Presentation Format:

  • 10 minutes for presentation
  • 2 minutes for Q&A
  • Multiple slides allowed
Results must be available at the time of submission. Work-in-progress will not be accepted.

Poster Presentations

Word Limit: 320 words (same structure as Oral presentations)

Presentation Format:

  • Posters displayed in the exhibition area
  • Each presenter will have a set time on the program to meet and discuss their work with attendees
  • Poster presentations are self-guided - no formal facilitation

Presentation Attendance: Presenters must be available at their scheduled Poster viewing time.


Title & Formatting Guidelines (All Submissions)

  • Titles must be in the title case, max 18 words, no abbreviations
  • No tables, figures, charts, or references in the abstract
  • Use American English spelling
  • Acronyms must be spelled out on first use

Additional Notes

  • Submissions must be in English
  • Abstracts may be published as submitted (e.g., in the app or program)
  • Editing is allowed until the deadline, but only submitted (not draft) abstracts will be reviewed.
  • Presenters must declare funding sources at the time of submission.
  • No promotional or commercial content permitted.
