These Registration Terms & Conditions, published on this website, are provided for convenience and summary purposes only. They do not constitute the complete and legally binding terms governing participation in the 2026 Annual Meeting.

The full and legally binding 2026 Annual Meeting Terms & Conditions, including provisions relating to liability, indemnification, event changes or cancellation, privacy, intellectual property, and governing law, are available HERE (link to full legal version).

Agreement to the full 2026 Annual Meeting Terms & Conditions is required as part of the registration process. In the event of any inconsistency between this summary and the full Terms & Conditions, the Full Terms & Conditions shall prevail.

1. Agreement / Acceptance

By registering for and/or attending the 2026 Annual Meeting (the “Event”), you agree to these Terms and any policies referenced in them (including the Code of Conduct and Privacy Notice). If you do not agree, do not register or attend.

2. Registration

  • Registrations are personal and may not be shared. Badges must be worn as required.
  • HTAi may refuse, revoke, or limit registration/admission, or remove any attendee whose presence or conduct is reasonably perceived as disruptive, unsafe, unlawful, or violates the Code of Conduct. In such cases, refunds are at HTAi’s discretion.

3. Fees, Currency, VAT, and Payment Processing

  • Currency: Fees are charged in USD unless stated otherwise.

·        VAT (Türkiye): All registration fees are subject to 20% Turkish Value Added Tax (VAT) in accordance with national regulations.

·        VAT applicability: VAT applies to all participants, regardless of country of residence or VAT registration status.

·        VAT refunds: HTAi does not process VAT exemptions or refunds. Any VAT reimbursement requests must be made directly by the participant to the relevant authorities in the Republic of Türkiye, subject to local laws and procedures.

  • Payment Methods: HTAi accepts major credit cards (Amex, MasterCard and Visa) and other electronic payment methods made available in the registration portal. (Availability may depend on device/browser/provider.)
  • HTAi does not accept cash payments.
  • Processing Fee: A 3.3% payment processing fee applies to card/e-wallet payments.

·        Deadlines: Payments must be received by 23:59 Mountain Time (UTC-7/UTC-6 as applicable) on the stated deadline to qualify for that rate; late payments may be moved to the next price category.

  • Chargebacks/Failed Payments: If payment is reversed or requires reprocessing, an administrative fee of USD $50 may apply.

4. Substitutions / Changes

  • After registration, changes can be requested via annualmeeting@htai.org and may be subject to a USD $50 administrative fee.
  • Name substitutions are permitted until May 28, 2026 and may be subject to a USD $50 substitution fee.

5. Cancellations & Refunds (Attendee-Initiated)

  • Cancellations must be submitted by May 1, 2026 in writing to annualmeeting@htai.org and are effective when received, subject to written confirmation by the Society.
  • If cancellation is received by May 1, 2026, HTAi will issue a refund less: (i) a USD $50 cancellation fee, (ii) a USD $50 administrative fee, and (iii) any non-refundable processing fees charged by payment processors.
  • Emergency exceptions (serious illness/death) may be considered if requested by May 28, 2026 with supporting documentation; fees above may still apply.
  • No refunds are processed after June 19, 2026.

6. Event Changes / Cancellation by Society

  • Program, speakers, schedule, venue, and format are subject to change.
  • If HTAi cancels the Event, the liability is limited to registration fees actually paid (or a credit/transfer option where offered). HTAi is not responsible for travel, accommodation, visa, or other costs.
  • It is recommended to purchase travel insurance.

7. Code of Conduct

All attendees must comply with the HTAi’s Code of Conduct. Violations may result in removal without refund.

8. Photography / Recording / Use of Likeness

  • By attending the HTAi 2026 Annual Meeting, you consent to being photographed and/or recorded and grant the Society a worldwide, royalty-free right to use such recordings for Event and Society purposes without compensation, to the maximum extent permitted by law.
  • Attendee recording of sessions/materials is prohibited without prior written consent.

9. Intellectual Property

Event content and materials are protected. You may use materials for personal, non-commercial purposes only unless otherwise stated.

10. Liability (Key Limits)

To the maximum extent permitted by law: the Society disclaims warranties; is not liable for indirect or consequential damages; and total liability is capped at the registration fees paid.

11. Privacy

HTAi processes personal information for registration and Event operations and may share limited information with service providers as described in the Society’s Privacy Notice.

12. Governing Law

These Terms are governed by the laws of Alberta, Canada, except where mandatory local law in Türkiye applies. Venue/jurisdiction: courts of Alberta, Canada, to the extent permitted.
