Presenter Guidelines

This guide will help you prepare an engaging, professional presentation - whether you’re leading a Panel, facilitating a Workshop, giving an Oral presentation, or presenting a Poster. 

1. General Requirements for all Presenters
  • All presenters must register for the Annual Meeting by March 26, 2026
  • Presenters are expected to attend and present at their assigned session time. 
  • Any changes to presenters must be communicated to the HTAi Secretariat in advance.
  • Presenters mut declare funding sources during their presentation.
  • Promotional or commercial content is not permitted.

2. Session-Specific Guidelines

Panels & Workshops

  • Panels: 60 minutes with up to 4 presenters including the moderator.
  • Workshops: Half- or full-day sessions with flexible presenter structure.
  • Encourage diverse perspectives and interactive formats.
  • Include time for Q&A and audience participation.
  • Provide clear roles and timing for each speaker.
Oral Presentations
  • 10-minute presentation + 2 minutes for Q&A.
  • Use multiple slides as needed but avoid overcrowding.
  • Recommend no more than 1 slide per minute.
  • Focus on clarity, key findings, and implications.
  • Timekeeping is essential – practice beforehand.
Poster Presentations
  • Posters will be on display in the exhibition area (Physical or digital format to be determined)
  • Each presenter will have a set time in the program to meet and discuss their work with attendees.
  • Poster presentations are self-guided — no formal facilitation
  • Presenters must be present at their poster during scheduled sessions.
  • Keep visual content clear, focused, and legible from a distance.

3. Technical Guidelines
  • Slide aspect ratio: 16:9 recommended
  • Accepted file formats: PPTX or PDF
  • Submit slides or Poster files by the deadline communicated via email.
  • Bring a backup (USB stick) and email a copy to yourself
  • AV support will be available on-site.
